Crucial Conversations: Ting and Nicholas’ Case Essay

The situation between Ting and Nicholas needs handling through dialogue at the stage it has reached. Both Nicholas and Ting had been at fault. Nicholas did not use his management skills of working as a team during the procurement process. As a procurement manager, he was supposed to have consulted other stakeholders like the IT manager and project manager before deciding on picking Netbook as their supplier. Ting on the other hand was well aware that the computers they were supplying did not meet the requirements of Medin Office who were interested in Windows-based computers as opposed to Linux. This is a crucial situation that the two individuals must face and handle properly. They need to do this by talking openly about the high-stakes and the controversies involved. The consequences could be severe if both Ting and Nicholas take their hard positions. As a team that wants to further their business relationship and focus on the development of both Netbook and Medin Office, both the individuals should find a way of getting the causes of the controversy from themselves into the open to start the resolution process.

When these two parties finally open up and bring out their minds by openly expressing their views and thoughts from the controversies, then they would achieve a fruitful conversation. They would share their views voluntarily and freely share their views even if they have contentious or detested points.

Creating Mutual Purpose

When people realize they are at crossroads, they need to first get out of the controversy and involve a mutual purpose. The two individuals should make a devotion to staying in the dialogue until they come up with something that would eventually be beneficial to both of them (Patterson et al, 2012). The two should be able to identify the reasons for the demand of what each individual wants about the purpose it would serve in satisfying the other party. The two individuals should then be able to look for new strategies from the mutual purpose to get a solution that is acceptable by both of them.

How to share facts

Nicholas should be able to share the controversy with the project manager Everlyn by stating why he chose to do business with Netbook first while ignoring other bidders. He could do this by stating the least controversial and highest impressing elements from his decision to pick Netbook as the supplier. He should be able to express his views more safely and state them as a story to encourage any differing opinion from the project manager.

Everlyn and Nicholas could work as a team by frequently communicating with one another from the time of project initiation. If this communication existed, the project manager could have known the specifications that Nicholas had included in the bid and whether one was missing. When Nicholas was drafting the bid, both of them including Everlyn should have participated so that all the parties were aware of what was in the bid.

The project involved very few teamwork situations. There was no direct ownership of the project by the stakeholders, which included Nichola, Everlyn, and others. The fact that the other stakeholders were not aware of the progress of the project and even the contents of the bid that Nicholas drafted showed this.

Effective communication never existed amongst the stakeholders of the project. Communication is a major factor in project management as it helps the parties concerned to bring together their views freely from time to time concerning the project. When communication exists, there is solving of each individual’s concerns before they blow out of proportion. This should include regular meetings to discuss the project’s progress.

Teamwork should include clear goals and expectations of the project. When there is a definition of expectations and goals in a project, the team members would be aware of their obligations as well as what they expect as the outcome of the project. Nicholas seemed not to have been aware that he did not include some important details in his bid document. If there were teamwork, the other members of the team with the same vision would have realized and corrected this before it went to the media. The status of the advancement of the objective needs regular review to ensure all components of the project are moving in a uniform fashion

Nicholas as the procurement manager should learn ways of developing a high-performing team member by including all the stakeholders when making decisions about an element of a project. If he does this, then he would be able to avoid such situations that he put himself in. He should be able to improve in his communications by ensuring frequent consultations with the other members of a given project that he is also involved in. By doing this, he would be able to learn from his mistakes by listening to others’ different views and opinions concerning a given matter and come up with informed decisions. Nicholas should also endeavor to encourage frequent and regular project progress report meetings. These meetings discuss the progress of the project at all levels and tackle the issues that have arisen during the project progress. Most importantly, he should be communicated with the project manager as frequently as possible.
