Introduction

“Human Resource Management (HRM) is the function within an organization that focuses on recruitment of, management of, and providing direction for the people who work in the organization.” (Heathfield, 2009, para.1). The Human resource management function includes a wide variety of duties mainly including the analysis of the staffing needs, if to employee new staffs to fill these needs, analysis of their performance level etc (McNamara, 2009).

Workforce planning

For an effective recruitment process, workforce planning is very important. Workforce planning can be defined as “getting the right number of people with the right skills, experiences, and competencies in the right jobs at the right time.”

(Building successful organizations workforce planning in HHS, 2001, W hat is workforce planning, para.1). This planning can be done by plotting the current competencies and demand for the future competencies. The steps to be taken care of while hiring a new employee are as follows:

  • Determine the need for a new position
  • Determine whether staffing should be done immediately
  • Prioritize the key needs of the management
  • Develop the job description and job specification
  • Promote the vacancy through media or internet
  • Get the pool of applicants
  • Shortlist the eligible candidates
  • Schedule the interview date
  • Prepare the questionnaire for the interview
  • Determine the panel members for the interview
  • Determine the rounds for the interview
  • Choose the best from the eligible short listed candidates (Heathfield, 2009).

Interview process

An interview is conducted for the school coordinator post of the summer school in Queen’s land. The process of recruitment starts from the process of getting the application forms from the eligible candidates and then short listing from them. For the short listed candidates, the scheduled interview date is made known through mail or postal. At first, the panel members for the interview are decided by the management. Usually the panel consists of the principal or the head of the institution, a staff member, an HR professional and a senior counselor. Then, the interview questionnaire is prepared by discussing with every member of the panel and management. The questionnaire is prepared in such a manner through which the management can choose the best candidate from the eligible ones. The interview questionnaire is attached in the appendix. Interview date should be decided in prior and the venue selected should be a comfortable place. The questions prepared for the interview should be in connection with the position available and the candidate’s qualification. At first, the panel members should be provided with the candidate’s resume and a note pad with the score table for noting the scores.

Selection process

The selection process starts from the starting of the interview. The selection is done by evaluating the candidate’s scores for each criterion. The scores table formed will be as follows:

Maximum score has been given to the communication skills as it is most important feature to be needed for an coordinator. Computer knowledge is a must for this job and hence a weight age of about 25 is given to this criterion. The candidate’s attitude towards the work and the social environment plays a vital role and hence is given a weighted score of 15. Finally the physical appearance of the candidate is given a score of 10 point. This score card will help the management and the HR professionals to evaluate the candidates available and will help to come to a decision.

There might be two rounds of interview for the school coordinator post. One will be a written skill test and the other one will be the panel interview. A written test is done to check the writing capabilities of the candidate. The test may be for one or two essay type questions with a specific time limit of 1hour. Once the written test is completed, all the candidates will be allowed to attend the second round or the panel interview. During the interview, the panel members may cross check the references provided and the certificates provided. The panel members can possibly ask the candidates to leave the place soon after the completion of the interview and the selected person can be intimated later after the final discussion and evaluation. The final evaluation will be on the basis of the scores allotted and the final decision will be taken by the principal, taking into consideration the opinions of others. The decision will be taken only when the short listed candidates meet the management’s expectation level and the right talented candidate is selected. After the two rounds are completed, the panel will sit together to evaluate their performances in both the rounds.

The interview should be conducted in such a way to avoid the occurrences of errors or bias like Go error and Drop error. Both these errors pose serious problems in future for the management, hence it is very essential to avoid such occurrences. As it is not possible for the management to stop the occurrences of such errors, it is better to avoid it to the maximum level. Some may be very good in writing but may be not so much good in other criteria. In such situations, these errors might occur or come into action. So a through evaluation should be done so as to prevent such errors in occurring. Through these above mentioned steps, an interview can be conducted and an outcome can be reached successfully. Once the interview is being conducted, the interviewers should make clear about the job nature, pay scale provided, training period etc to the candidates so that the candidates can be clear in the job profile.

A report has been made on the interview steps and package for a position of school coordinator. While planning for an interview, there are various steps to be undergone by the management. This report gives an idea on those steps in detail. The job description and job specification are the two main factors to be dealt with. After doing these two steps. An interview questionnaire has to be made and decisions should be taken about the panel members. The evaluation score card also must be prepared by the management. Through these effective steps, one can perform an effective and efficient interview and can select an efficient one for the post. While conducting an interview, the management should consider of all these steps in prior to avoid bias and to make the system efficient.
