It has been observed that the customers of Roanoke branch are dissatisfied with the quality and delivery of their ad works. The serious staff issues at the branch have been found to be the reason for the situation. The company cannot afford to have the customer of the Roanoke branch offended, as the business from them is very important for the revenue and profits of the company.
I would like to bring to your attention because of the staff issues an Art Director and an Account Executive working in the branch has resigned from the company. More employees are threatening to leave the company if some immediate action is not taken to improve the staff morale and regulate the working hours of the branch.
I observe that the employees are dissatisfied over the long working hours they have to put because of the commitments made to the customers. The staff also feels that their creativity is not being recognized at the branch level. As I understand there is no overtime being paid to the employees at the branch. It is also complained of that there is no assessment of work on hand and the time needed to complete the work is calculated before undertaking new orders and delivery committed. The staff at the branch is proactive and they would like to have the situation resolved at the earliest, so that they can work as a team for the success of the company.
I would like the general managers and deputy managers to work on probable solutions to the staff issue at the branch and present your views for consideration in the meeting to be convened on the Monday 16th, February at my office.
An inter office memorandum with details of orders pending in the Roanoke branch and the probable date of completion may please be put to me by the General Manager Marketing no later than 10.00 am 02/13.
I also would like to receive a note from the Manager Roanoke branch on his reaction to the complaints of the customer and the manner in which he proposes to handle the complaints.
General Manager – Finance is requested to present the possibilities of adding the budget sanction for introducing the overtime wages at the branch level. I would like to reiterate the importance of solving this issue at the earliest as otherwise it would affect the business of the company largely.

- Payroll statements for a period of 12 months starting February 2008 until January 2009
Please also present to me the policy guideline of the company that talks about providing overtime salary to the employees at the branch level for working on extended hours to meet emergency situations. I remember we have revised this policy as of June 2008. Please get me the latest one.
