Dementia Village Project Plan for Enhancing Autonomy and Well-Being Report (Assessment)

Executive Summary

This project is of great importance in providing comfort to individuals residing in nursing homes. Most of them suffer from dementia and cannot fully care for themselves. At the same time, a key goal is to create a dedicated space where all Sunset House customers can spend their time entirely. This means they can spend time more freely without intense supervision, increasing their autonomy.

Planning and Control

The project’s mission and goals are to create an entertainment village within the program’s framework to improve the well-being and leisure of people in the nursing home’s ‘Golden Years.’ The quality of life of people with dementia can be significantly improved by providing them with more appropriate and quality recreational conditions. This can be partly achieved by creating a different space that allows people to move more independently and do as they please. Therefore, the objectives of the project include:

1. Improving the well-being and independence of residents of the nursing home;
2. Attracting new customers by improving public perception;
3. Obtaining additional income by placing stores that can pay rent;
4. Using the experience of ‘Golden Years’ to upgrade this type of nursing home in the future.

Each goal is driven by the specific needs of people, most of whom are over 80 and suffer from various forms of dementia. Moreover, the well-being of nursing home residents can be ensured by empowering them through greater freedom of movement and decision-making (Nachbagauer, 2022). The village will allow this to happen because people will be able to go for walks on their own.

Increasing the nursing home’s reputation is also an important aspect that will enhance the institution’s market position and attract new customers (Fewings & Henjewele, 2019). An increase in income can be generated by establishing various shops in the village that will cater to and satisfy the needs of nursing home customers. The expected impact of implementing this project may be an increase in customer satisfaction, which could improve as people receive more service. Another potential impact could be increased profitability from providing places in the village for shops.

Stakeholder Management Plan

A stakeholder management plan is crucial for evaluating the project’s comprehensive impact on all aspects of the nursing home’s operations and the lives of its residents. Taking their needs into account can ensure they are considered when creating a village project for people with dementia. Thus, it is possible to identify the main stakeholders, who are, first and foremost, the nursing home’s clients. This category of people will receive the maximum benefits from the project’s implementation (Wu et al., 2019).

Stakeholders include Sunset Homes, which is responsible for implementing the plan and developing critical concepts. The company is a key stakeholder in this project, as it is responsible for carrying out all the necessary work and detailed monitoring to ensure that the project is organized effectively (Ford & Lyneis, 2020). Thus, stakeholder management primarily involves the cooperation and collaboration of all major stakeholders.

Project Activity Plan

Planning for an organization’s adequate performance is a crucial aspect that can help ensure all goals are met in a timely and accurate manner. At the same time, it is essential to select the appropriate approach to the planning process to enable consideration of all the critical elements of the strategy being developed. Planning Breakdown Structures (PBS) are essential elements that facilitate the full implementation of a village project for clients with demands (McGrath & Whitty, 2020). In this context, a Product Breakdown Structure (PBS) can facilitate a detailed examination of all elements to identify potential weaknesses and risks, allowing for timely elimination.

A crucial element in the complete structural analysis of the project is its hierarchical structuring.

1. Project initiation:
   1. Determine the goals and scope of the project.
   2. Creating a project team and roles.
   3. Conduct stakeholder analysis.
2. Planning and design:
   1. Obtaining a building permit.
   2. Completion of architectural plans and projects.
   3. Obtaining necessary permits and licenses.
   4. Development of a marketing and promotion strategy.
3. Construction:
   1. Clearing and site preparation.
   2. Construction of stores and facilities.
   3. Landscaping and fencing.
   4. Installation of a water body and recreation areas.
4. 4 Staff training and recruitment:
   1. Hire a facility manager.
   2. Conduct dementia education for all staff.
   3. Development of new policies and procedures.
   4. Conduct staff training for additional responsibilities.

A Resource Allocation and Utilization Plan

Efficient use and allocation of resources are integral to any project. At the same time, human resources and tasks must be carefully planned so that the project’s strategic direction is identified and completed on time (Ghansah et al., 2021). For this, the most appropriate approach is to compile the Resource Assignment Matrix, which outlines all the necessary personnel and their corresponding responsibilities within the project (Table 1). A checkmark in the table indicates which group or official is assigned specific resources.

Cost Estimation and Allocation

Resource cost estimation is a crucial component of implementing large projects. To fully consider the cost of building the Dementia Village, the Bottom-Up Estimating technique will be employed. This will enable more accurate cost estimation. Construction costs will be calculated from Contractor A, who will do the entire job, including finishing, for £330,000. This choice is justified because the amount is less than the cost of hiring two separate contractors.

Additionally, there will be training costs and potential hiring expenses for staff. This category will require an allocation of £60,000. Another category of costs is marketing and promotion of the new complex. Monetary costs in this category will depend on what target audience needs to be attracted. However, a primary advertising campaign can cost £70,000. The total cost could therefore be over budgeted at £460,000.

The project may encounter conflicts due to disagreements between stakeholders or inconsistencies in resource allocation. To eliminate these conflicts, you can use a detailed planning strategy. This will enable ensuring, in advance, that all stakeholders are satisfied with both the intended goal and the means to achieve it (Vaagaasar et al., 2020).

Another strategy could be to clearly define the roles and responsibilities of all employees. This will help remove unnecessary tension and foster trusting relationships within the team. The third strategy is Collaborative Problem-Solving, which involves considering the opinions of all parties involved (Layton et al., 2020). Scope and Change Management is the next option for conflict resolution, which involves an enhanced control process. The last important strategy is Conflict Resolution Mechanisms, which allow disputes to be resolved through arbitration.

A sponsor in this project may be needed for the following reasons:

• Financial support;
• Strategic direction;
• Authority and Influence;
• Stakeholder Management;
• Risk management.

Each reason may contain elements that could put the project at risk. However, the sponsor can absorb the impact in an emergency by mitigating damage to the project. For a project manager, a participative management style is most appropriate.

This is a profitable strategy, as it implies the manager’s constant participation in the team’s activities (Wood et al., 2022). This way, they will be able to interact with all stakeholders, team members, and sponsors. This will have the greatest positive effect by improving communication and increasing overall task completion efficiency (Alnaggar & Pitt, 2019). Additionally, it will enable learning from different perspectives, facilitating the development of a more effective strategy.
