Importance of Effective Communication
Effective communication is vital for the successful functioning of any business venture. Failure to communicate changes in day-to-day operations may result in employees misunderstanding their assignments and in growing distrust between managers and their subordinates (Society for Human Resource Management, 2022). Meanwhile, effective communication results in high employee satisfaction, reduces opportunities for error, and aligns the workforce with the company’s goals and objectives (Society for Human Resource Management, 2022). Overall, efficient communication is among the most crucial aspects of managing any organization.
Personal Experience of Ineffective Communication
I have had several experiences of workplace miscommunication that led to unintended employee mistakes and missed deadlines. The most recent example of communication was the team leader’s failure to relay the client’s requested project changes. The team leader was informed about the changes needed in the meeting with the manager, who worked directly with the customer.
However, the employees responsible for that part of the project were not asked to join the discussion and were not informed of the changes needed in a separate meeting, via email, or by phone. Instead, the project leader asked an employee working on another part of the project to inform their co-workers about the changes needed without providing any details or documentation. As they were busy with their work, the message was relayed late and without details, leading to significant delays.
The project’s changes were substantial and warranted timely communication. The downward communication was highly ineffective, as the assigned team leader failed to communicate with the employees responsible for implementing the necessary changes and did not follow up to ensure the message was delivered. Therefore, the employees did not have access to the same information the project leader did (Hogarty, 2022).
In addition, the situation highlighted the lack of two-way communication within the company, as employees were not proactive and did not request updates from the project leader. In summary, downward communication from the manager and team leader was highly ineffective, resulting in a project delay. Both relied on oral communication and failed to provide the team with the necessary information, delegating their responsibilities to a third party.
