Introduction

Business-related messages can take different types and forms. These messages are exchanged between different people or groups, conveying given information about the business issue in question. Examples of these messages include leave approval messages, the coverage of business or notice messages, linked to the running of the involved parties’ business or assignments. In the current case, the Veema limited has received a notification, inviting them for a business conference to be held in a week’s time (Matusitz, 2005).

Following the invitation, the selected team of four professionals designed a document presentation, with visuals discussing the message of Veema limited, and its business. Through the business-related message – aided by visual presentation – the team is expected to inform the congregation, about Veema Limited’s business and their areas of competitiveness (Matusitz, 2005).

This paper explores the use of visuals to inspire the business-related message being communicated, through inspiring the audience, increasing message-clarity levels, and presenting the message more effectively.

Discussion

As a leading player in the oil and gas industry, as evidenced in the presentation at the conference on growth strategies for the economy, the team will emphasize on the strategic placement of Veema Limited, as an agent of development. For that reason, the presentation focuses on the contributions that the company has caused in the country, as well as the changes it has created in the community.

In demonstrating the input of Veema Limited to the country and the immediate community as a whole, the team will present information on the fully integrated nature of its business, which ranges from oil exploration to the marketing of finished product (Brumberger, 2005).

The company does this by working cooperatively with the players at the different levels of production where it is not directly engaged. These other players include refiners, pipeline operators, marketers, service companies, government agencies and trade associations (Matusitz, 2005).

The visual representation of this concept: The range of Veema Limited’s business coverage

Through its engagement in the six major operational areas and facilitating industry operations, particularly where the company is not directly involved – for instance, pipeline operations and transportation – the company ensures that supply to the market is not interrupted. Through engagement in the different operational areas, where the company runs the different plants, it creates employment for many citizens. This information is presented through the diagram.

Diagrammatic representation of the benefactors of the company

Through the diagrammatic representation of the span of the company’s business, the audience will understand the areas of business and influence, covered by the company. Through the diagrammatic representation, the working areas of the company are organized into a comprehensible whole: ranging from exploration to marketing.

It helps simplify the process of oil exploration, processing and the distribution of oil products (Evans, 2000). Through the second diagram, the information on the benefactors of the company is presented clearly. Through the different visual aids, the audience will remember the concepts discussed more easily.

Through Veema Limited, the functional operations of different players within the industry are integrated. For example, the company is directly involved in the management of the oil and gas chain of distribution.

Through the company, the activities of independent producers, for example the Devon energy company; independent refiners, like the Holly Corporation and independent marketers like the Wal-Mart is linked together to ensure that the industry is run efficiently and the supply of end products is not interrupted (Brumberger, 2005).

Other agents including pipeline companies like CITGO Petroleum; Service companies like Halliburton Company; trade and professional institutions like the American Gas Association; government and research institutions like the department of energy and National energy companies like Petroleos Mexicanos are linked and moderated. This is done to ensure that there is continuity in meeting the demand for oil and gas, and that the shortages that bring crisis are not experienced (Evans, 2000).

The visual representation of this concept: The links developed with different industry players and agencies to ensure efficient supply

Through developing links and exercising control measures on these different actors within the oil and gas production chain, Veema limited ensures that information flow and the distribution of the end products is effective. This helps streamline the negative moves of different players. An example is holding supplies, so that sales can be made after prices have increased (Brumberger, 2005).

Through the diagrammatic representation of the different partnerships and links developed amongst different industry players. Through the visual representation, the audience is able to understand the role of Veema limited, as a moderator and an information and operations link between the different players.

Through the visual aid, comprehension apprehension is reduced among the audience, active audiences are recognized, and the concept underlying the activities of the company is explored and understood in a deeper manner (Brumberger, 2005).

During the conference, Veema Limited will also discuss its areas of coverage in the provision of information to the different agencies within its coverage as well as to the consumer population. These information bases include those on the profiles of existing and upcoming refineries, both public and private.

It also offers updates on planned projects, for instance those on the expansion of refinery plants. The company’s team will also discuss industry reviews on the production and performance ranking, importation and exportation (Evans, 2000). They will also discuss their exploration of alternative sources of energy, market and distribution analysis, price reviews, and statistics on product consumption.

Diagrammatic representation of the coverage of the information provision services of the company (to aid the discussion)

Through the diagrammatic representation of the different information bases provided by the company, the audience will clearly understand, through the help of the visual aid, the different areas of information coverage. They will also evaluate the role of the company as an information distributor within the oil and gas sector. The visuals present the information in a simpler, clearer manner (Evans, 2000).

Conclusion

A business-related message takes different forms. These messages are exchanged between different groups and people, conveying information about the businesses in question. Examples of business related messages include notice messages. In the case of Veema Limited, the message they expect to present at the conference will be communicated as a blend of both discussions and visual aids, which help make the information being presented easier and simpler.

Through the diagram on the coverage of the company’s business, the team will present abstract information in a clearer, simpler manner. Through the visual aid showing the benefactors of the company, the audience will understand the role of the company within the community and the country better. Through the use of visual aids, the team will increase comprehension as well as reduce communication apprehension among the audience. From the different cases, it is clear that visual aids are useful in presenting abstract information.
