The target company operates in the sphere of developing and proposing business solutions for small businesses and individual clients during a long period of time. The company has the perfect reputation in the sphere. The regular flow of orders and number of activities to address the customers’ demands are high. Currently, the company does not use any formal notification system in order to inform employees about the number and character of tickets which are now examined by specialists and about the number of employees available to work in the system. The implementation of the software used to manage the working process will provide shift supervisors with an opportunity to assign available tickets for examination effectively and in time. The purpose of the project is to implement a new IT solution for the management team in the form of SharePoint 2013, which works to organize the work of shifts effectively.
Overview of the Project
The consultants working for the company state that the lack of the notification system and the weaknesses in the intranet system can prevent managers and employees from performing their tasks effectively. The current project is developed to address the problem of creating the effective notification system directly. The implementation of SharePoint 2013 allows managers to organize the working process effectively, to save time, and to optimize the employees’ activities. Furthermore, the company’s employees can receive the opportunity to share the information about their activities, progress, and results immediately (SharePoint Overview, 2014). The company’s management is expected to use SharePoint 2013 in order to control the workflow, organize activities according to the time requirements, and manage costs and risks. The implementation process includes such stages as the preparation of the equipment, installation of the software, adaptation, and the test use of the program (Wysocki, 2013, p. 112). The project should be completed during two weeks, including the stage of using the software for testing.
Objectives
The following main objectives to implement the project effectively are determined:
- Optimize the work of shifts in relation to examining tickets and documenting orders. Targets: the objective is competed if the number of examined tickets increases in 1.5 times by the end of the eighth week.
- Improve the quality of performing regular tasks while using SharePoint 2013. Targets: the objective is competed if the quality of the work improves in 60% by the end of the eighth week.
- Decrease the time necessary for working with tickets. Targets: the objective is competed if the time necessary for working with tickets is reduced in 1.5 times by the end of the eighth week.
- Improve collaboration among the company’s employees. Targets: the objective is competed if collaboration increases in 1.5 times by the end of the second week.
General Approach
The necessary equipment and software will be purchased from the company’s partners. The company will use the IT and technical support in order to install the software and organize the work of the intranet and online management system (Pinto, 2007, p. 60-72). The company will also hire consultants to develop a strategy for using SharePoint 2013 in order to improve the workflow and quality of the performed tasks.
Project Constraints and Potential Limiting Effects
The main constraints associated with the implementation of the project are the budget and time constraints. In order to implement the project effectively, it is necessary to hire consultants who are specialists in the organization of the shifts’ work. Thus, managers should reorganize the budget in order to cover the implementation costs (Wysocki, 2013, p. 94). The focus is on increasing profitability as a result of the project implementation.
One more constraint is time. The company should start working with the focus on using SharePoint 2013 on the seventh day after the completion of the project implementation process. The project requires revising schedules and plans in order to organize the work of shifts during the implementation process.
Resource Requirements
The technological base of the company should be updated in order to install the required software. Thus, the purchase of the necessary equipment is planned. The company’s managers have no experience in working with software like SharePoint 2013 in order to organize and manage the work of employees. That is why, the company needs to hire specialists in developing effective management strategies to use SharePoint 2013 appropriately, provide the effective document and information sharing and guarantee the work of websites and notification system (SharePoint Overview, 2014).

The implementation of SharePoint 2013 in the company in order to optimize the working process and increase the quality of performance is an appropriate choice because of obvious benefits of the implementation and limited constraints that can prevent supervisors from the effective implementation of the required software.
