First of all receive my sincere greetings. Considering the massive use of information technology in our workplaces, I have decided to remind everyone on our organizational policy on appropriate use of e-mails and text messages. It has been noted that inappropriate use of e-mails and text messages in our organization has largely resulted into cyber-bullying. As a result, this has impacted negatively on the productivity of various individuals who are targeted by the bullies (Guerin, 2011, p.15). Since everyone is aware of our company’s code ethics, this message is just a reminder of the expected code of conduct for every employee in our organization. The following issues should be carefully considered among all the employees in this organization:
- Exercising acceptable usage of technology in workplace is a priority in the company’s code of ethics. With the highly dynamic technology today, privacy settings on social networking sites should be upheld by all the staff members (Rennie, 2003, p.13). It should be remembered that, all the company’s resources are not eligible for use on personal matters whatsoever. Precisely, sending of personal mails through the use of company’s computers or cell phones is absolutely unacceptable in our company. Since our network system will be monitored closely, all employees who will have violated the company policies will face corresponding disciplinary actions for their misbehaviors.
- With the currently dynamic information technology, computer viruses are largely becoming a big threat to our computer systems in the company. This has necessitated the company to restrict sending or receiving of personal messages using the company’s computers. This practice is meant to secure the company’s intellectual property from any form of threat. All staff members are only encouraged to use privacy settings on their computers to avoid any access of the computers by unauthorized individuals. It is important for all the staff members to note that, high level of dignity and integrity should be upheld in all their dealings while using the company’s properties (Rennie, 2003, p.21).
- Threatening messages through either e-mails or mobile phones is considered an uncouth behavior which will not be tolerated in the company. The company will monitor all messages sent through e-mails to ensure that their contents are socially acceptable and does not harm the recipients. Since the company advocates for harmonious workplace culture where unity and peace is upheld, all forms of conflicts should be resolved peacefully through the right channels. By avoiding the practice of sending harassing messages amongst ourselves, the company will be able to perform outstandingly since all of us will be having good morale to work (Guerin, 2011, p.37).
- With reference to Guerin (2011, p.7), ethics in the use of technological appliances should be highly considered by everyone. Any message sent through the emails or cell phones should be ethically justified in order to avoid stressing the recipients of the messages. In this regard, all staff members are encouraged to draft sensitive emails and proof-read them sometimes afterwards before distributing them. It should be remembered that, any information relayed in information network remains permanent. Since sensitive information can arouse some emotions, it is highly advocated that all messages sent through the email should be carefully scrutinized to avoid harming the recipients.
In winding up, it is my utmost belief that if we all adhere to the above policies, our interaction within the company will be more productive and enjoyable. Besides our social benefits, the entire organization will be at the verge of performing higher, since all our systems will be directed towards the right usage to achieve a common goal.
