Introduction
Managing students is one of the most important ways through which an educational institution can improve its efficiency. Having worked at the students’ service department at the college it was clear that this institution has to come up with a strategy that would reduce time wastage when handling student issues.
It was clear that there was no individualized attention given to the students because of poor planning at the institution. The department also used manual means of registration. In order to bring sanity to this institution, I propose a plan that will make student management easier and more fruitful both to the students and to the management of the college.
Goal
This research paper is focused on coming up with a plan that will improve students management during the registration process in order to make the experience shorter and more enjoyable. This would not only benefit the students, but also the teachers who will be able to understand the capacity of the students they are admitting to the institution.
Objectives
As stated above, the main aim is to reduce time taken during registration process and make the concerned parties enjoy the process. The following are some of the specific objectives of this research.
- To introduce technology in the registration process in order to increase efficiency
- To eliminate unnecessary stages of registration and bureaucracy when registering new students
- To ensure that the process is done without any form of bias irrespective of the race, religion or other social beliefs
Strategy
In order to achieve the above objectives, I propose the introduction of technology during the registration process. All applicant would require sending his or her applications online. The approval will be done online, and the shortlisted candidates will then be contacted. Their details will remain in the database. When they come for registration, the relevant authorities would only need to transfer the data to the relevant department after authenticating the identity of the applicant. This authentication can take a maximum of two minutes.
This strategy seeks to eliminate any paper work during registration of students. This will create time taken by the students with the advisors. This strategy will also mean that only a maximum of two individuals would be needed at the registration desk because their work will only be to authenticate the identity of the candidates based on their data that is already in the database of the institution.
This would make it possible to increase the number of advisors who would be able to give personalized attention to the successful applicants. This strategy will eliminate any possible bureaucracy during the registration process. The strategy will also eliminate any form of bias because personal judgment is eliminated.
Rationale
This strategy will work at this institution in achieving the above objectives. Use of technology in managing data has proven to increase speed and efficiency. It is also true that machines do not have any form of bias, unless it is programed so. The technology will also reduce the number of officers needed at the registration desk, making it possible for the excess workforce to be transferred to other departments.
Evaluation
In order to make this a reality, I intend to make my case to the management. The management would need to appreciate that modernization of this process has worked well in other institutions. It can be the solution to the current problem in this department.
